How to Add Page Numbers to a PDF — Free and Easy

Page numbers seem like a basic feature, but many PDFs don't include them — especially scanned documents, merged files, and exported presentations. Adding them makes your document easier to navigate, reference, and print.

Why Add Page Numbers?

  • Professional appearance — numbered pages look polished in reports and proposals
  • Easy reference — "see page 14" is much clearer than "scroll down to the section about..."
  • Print-friendly — if someone prints your PDF, page numbers prevent the "which page goes where?" problem
  • Required by many institutions — academic papers, legal filings, and government forms often require numbered pages

How to Add Page Numbers with YourPDFTools

  1. Go to the Page Numbers tool
  2. Upload your PDF by dragging it in or browsing
  3. Choose the position — bottom center, bottom left, bottom right, top center, top left, or top right
  4. Pick a format — plain numbers (1, 2, 3), padded (01, 02, 03), "Page N", or "N of Total"
  5. Adjust font size and starting number if needed
  6. Click "Add Page Numbers" and download your numbered PDF

Choosing the Right Position

PositionBest For
Bottom centerReports, academic papers, general documents
Bottom rightBooks, manuals, documents meant for binding
Top rightLegal documents, formal filings
Bottom leftDocuments bound on the right side

Format Options Explained

  • Plain (1, 2, 3) — clean and minimal, works for most documents
  • Padded (01, 02, 03) — useful for documents over 10 pages, keeps alignment consistent
  • Page N (Page 1, Page 2) — more descriptive, good for standalone documents
  • N of Total (1 of 15) — tells the reader exactly how long the document is

Tips for Better Results

  • Start from page 2 if your document has a cover page that shouldn't be numbered
  • Use a smaller font size (8-10pt) so numbers don't distract from the content
  • Check margins — if your document already has content near the edges, position the numbers where there's space
  • Preview before committing — make sure the numbers don't overlap with existing headers or footers
  • Combine with watermarks — add both page numbers and a watermark (e.g., "DRAFT") to mark documents that are still in progress
